1. Who we are

Wibitech Agency (“Wibitech”, “we”, “us” or “our”) operates this website and is responsible for deciding how personal information submitted through it is used.

2. Information we collect

When you submit a project enquiry, we collect the information you choose to provide, including:

  • Your name and email address
  • The services you are interested in
  • Your indicative budget range and preferred launch timeline
  • How you heard about Wibitech
  • Your project description and any other information you include

We also process limited technical information needed to deliver and protect the website. This can include your IP address, request headers, browser or device information, timestamps and security or error logs.

A country code derived from your request may be used to select the currency shown in the form. We do not retain that country code. We do record which currency you were shown, so that the budget range you selected can be interpreted correctly later.

When you submit an enquiry, we also create and store a one-way fingerprint derived from your normalized email address and project description. It is stored with the enquiry record and used only to recognize duplicate submissions; it is not used for marketing.

Please do not submit special-category personal data, passwords, trade secrets or other highly sensitive information through the enquiry form unless we have agreed an appropriate method with you in advance.


3. How we use your information

We use personal information to:

  • Review, respond to and manage project enquiries
  • Confirm that an enquiry was received
  • Discuss requirements, prepare a proposal and take requested steps before entering into a contract
  • Operate, secure, troubleshoot and improve the reliability of the website and enquiry process
  • Prevent spam, duplicate submissions, fraud and misuse
  • Keep appropriate business records and establish, exercise or defend legal claims
  • Comply with legal, regulatory and administrative obligations

We do not use enquiry information for automated decision-making, profiling or unrelated advertising, and submitting the form does not subscribe you to marketing emails.


4. Legal bases

Where the GDPR, UK GDPR or similar law applies, we rely on the following legal bases as appropriate:

  • Taking steps at your request before entering into a contract, and performing a contract with you
  • Our legitimate interests in responding to enquiries, operating and securing the website, preventing misuse, managing our business and protecting legal rights, where those interests are not overridden by your rights
  • Compliance with a legal obligation
  • Consent, only where we specifically ask for it; you may withdraw it at any time without affecting earlier lawful processing

5. Who receives your information

We disclose personal information only where needed for the purposes above. Current categories of recipients involved in the public enquiry flow include:

  • Website hosting, infrastructure and security providers that deliver and protect the website and process limited request and runtime information on our behalf
  • Transactional email service providers that deliver the internal enquiry notification and confirmation email
  • Business email service providers that receive and store the internal notification
  • Database hosting and storage providers that store enquiry records and support the administration area on our behalf
  • Professional advisers, regulators, courts, law-enforcement bodies or other parties where disclosure is necessary to comply with law or protect legal rights

We do not sell personal information. We do not currently use analytics, advertising, retargeting or social-media tracking technologies as part of the public enquiry flow.


6. International transfers

Our service providers may process information in countries outside your own. Where applicable law requires it, we use providers and contractual arrangements intended to provide an appropriate level of protection, such as adequacy decisions, standard contractual clauses or equivalent safeguards. You may contact us for more information about the safeguards relevant to your information.


7. How long we keep information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected and for applicable legal, accounting, security and dispute-resolution requirements.

If an enquiry does not lead to a client relationship, we normally delete or anonymize the enquiry and related correspondence within 12 months after the last meaningful interaction, unless a longer period is reasonably needed for a legal obligation, security issue or legal claim. If a client relationship begins, relevant records are retained under the applicable client agreement and legal or accounting requirements.

For abuse prevention, the website temporarily keeps an IP-based rate-limit record. It is held in memory only, normally expires after approximately 10 minutes, is not stored with the enquiry, and is not used for marketing.

Separately, the one-way duplicate-prevention fingerprint described in section 2 is stored with the enquiry record. It is used only to identify duplicate submissions and is not used for marketing. It is kept only for as long as the related enquiry, and is deleted or anonymized together with that enquiry under the periods described above.

Infrastructure providers may retain security logs, transactional records and backups under their own documented retention schedules.


8. Cookies and similar technologies

The public Wibitech website does not currently use analytics cookies, advertising cookies, tracking pixels or local storage for marketing or personalization. See the Cookie Policy for the current position and any future changes.


9. Your rights

Depending on the law that applies to you, you may have the right to:

  • Request access to personal information we hold about you
  • Request correction of inaccurate or incomplete information
  • Request deletion of your information
  • Restrict or object to certain processing, including processing based on legitimate interests
  • Receive certain information in a portable format
  • Withdraw consent where processing is based on consent
  • Complain to the data-protection authority responsible for your location

These rights can be limited in some circumstances. To exercise a right, email contact@wibitechagency.com. We may need to verify your identity before acting on a request.


10. Security

We use reasonable technical and organizational measures intended to protect personal information. No internet transmission or storage system is completely secure, so we cannot guarantee absolute security.


11. Children

This website and our services are intended for business users and are not directed to children. Please do not submit personal information about a child through the enquiry form.


12. Changes and contact

We may update this Privacy Policy when our services, providers or legal obligations change. The date above identifies the current version.
